Who we are

This website is operated by Onestop Safety Solutions Limited ("we", "us", "our"), part of the Onestop Group of companies. We design, supply and install work at height safety systems across the UK. We are the data controller for the personal information described in this policy, which means we decide how and why it is used.

We handle your information in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

What information we collect

Information you give us

We only collect personal information that you knowingly provide to us, for example when you:

  • Request a site survey: your name, company, email address and phone number, plus details about your project such as the systems you are interested in, your sector, location, timescale, type of project, how the roof or frame is accessed, whether the building is occupied, and any notes you add about the site.
  • Send an enquiry through our contact form: your name, company, email address, phone number, the topic of your enquiry and your message.
  • Apply for a vacancy: your name, email address, phone number and any message you write. If you email us a CV or other documents, we will hold those too.
  • Contact us by email or phone: your contact details and the content of our correspondence.

Information collected automatically

When you visit the website, our hosting provider processes technical information needed to deliver and secure the site, such as your IP address, browser type, device and the pages requested.

If, and only if, you accept analytics cookies, we also use Google Analytics to collect information about how the site is used, such as pages viewed, how you arrived, approximate location, and device and browser details. We do not add you to a marketing mailing list without your consent, we do not sell your personal information, and we do not make automated decisions about you.

Who we share your information with

We do not disclose your information outside the Onestop Group except where you have agreed, where we are required or permitted to by law, or to organisations that provide a service to us:

  • Mailgun, which delivers the emails generated by our website forms to our inbox (we use its EU region).
  • Cloudflare, which hosts and delivers the website and helps protect it from abuse.
  • Google, for Google Analytics if you accept analytics cookies, and for Google Maps if you choose to load the map on our contact page.
  • Our email, IT and business systems providers, who store and help us manage the information you send us.
  • Other companies in the Onestop Group, only where your enquiry is relevant to them (for example, an access equipment or roofing enquiry).
  • Professional advisers such as accountants, insurers and lawyers, and any successor to our business.

Our service providers act on our instructions and are not allowed to use your information for their own purposes, except where they are independent controllers of their own data, as Google is for Analytics and Maps.

Transfers outside the UK

Some of our providers, including Google and Cloudflare, may process information outside the UK, including in the United States. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement or UK Addendum to the EU Standard Contractual Clauses, so that your information remains protected.

How long we keep your information

  • Enquiries and survey requests: up to 12 months after our last contact with you. If the enquiry leads to a contract, we keep the relevant records for as long as we need them, generally up to 6 years after the contract ends for legal and accounting purposes.
  • Job applications: up to 12 months after the vacancy closes, unless you ask us to delete your details sooner.
  • Analytics data: up to 14 months.

When we no longer need your information we delete it or anonymise it. Information held in backups is deleted when the backup is next overwritten.

How we keep your information safe

We use appropriate technical and organisational measures to protect the personal information we hold. The website is served over an encrypted (HTTPS) connection. However, no transmission over the internet is completely secure, so please take care about what you include in messages you send us.

Your rights

Under data protection law you have the right to:

  • ask for a copy of the personal information we hold about you (this is free of charge, and we will respond within one month);
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to erase your information in certain circumstances;
  • ask us to restrict how we use your information in certain circumstances;
  • ask for your information in a portable format where we process it by automated means on the basis of consent or a contract;
  • object to us using your information where we rely on legitimate interests, or for direct marketing; and
  • withdraw your consent at any time where we rely on it (for example analytics cookies, using the "Cookie settings" link in the footer of every page).

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), atico.org.uk/make-a-complaintor on 0303 123 1113.

Other websites and Google Maps

Our website contains links to other websites, including other Onestop Group companies, which are outside our control and not covered by this policy. Their operators may collect information about you in line with their own policies.

The map on our contact page is provided by Google Maps and is only loaded if you click "Load map". Google's use of your information is described inGoogle's Privacy Policy.

Children

Our website is aimed at businesses and is not intended for children. We do not knowingly collect information from children.

Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page shows when it was last changed, and the current version always applies.
